If you need to move text, an image or another object from one part of a document to another, or from one app to another, you need to use copy (or cut) and paste. On a Mac or MacBook, the keyboard shortcuts for this are different to other devices, so if you are coming from Windows you might be confused.

We find that there is nothing more frustrating than copying and pasting from one document to another, or from one application to another, only to find that it also copies over the formatting (such as the font). This is annoying if you have different formatting in the document you are working on and it makes things look mismatched.

Copy and paste is one of the most basic and helpful computer shortcuts. It saves time and ensures that text and images are preserved in their original form; no need to type out text you see on a webpage into an email or document when you can simply copy and paste.

There are several different ways to copy and paste on a Mac, and knowing them all helps you use this function no matter what you're copying and pasting. You can even copy and paste content across Apple devices.

1. Highlight the text you want to copy using your mouse or trackpad, then right-click. If you're copying an image, GIF, or another file type, simply hover the cursor over it before clicking.

If you want to move the selected file or folder instead of duplicating it, press Command+Option+V. This command deletes the files from their original location when they're pasted to the new location.

For word-processing documents, the section you paste will be placed at the end of your document and list of thumbnails by default. You can rearrange the sections by selecting, dragging, and dropping in the Page Thumbnails view.

To manipulate pages in a PDF, make sure that you have permissions to edit the PDF. To check, choose File > Properties, and then click the Security tab. Permissions appear in the Document Restrictions Summary.

Extraction is the process ofreusing selected pages of one PDF in a different PDF. Extractedpages contain not only the content but also all form fields, comments, andlinks associated with the original page content.

In the page thumbnails of the target PDF, click between the page thumbnails where you want to paste the page. A blue horizontal marker shows the selected location where you want to paste. Right-click and choose Paste. The page is copied into the document, and the pages are renumbered. You can paste the pages in another PDF as well.

Alternatively, click the Page Thumbnails button in the left navigation pane to open the Page Thumbnail panel, then select the page or group of pages you want to delete.

Ctrl+Alt+drag the selected page thumbnails onto the Pages panel of the target document. Release the mouse button when the pointer is directly over the page number box of the first page thumbnail you want to replace so that these pages become highlighted.

The page numbers on the document pages do not always match the page numbers that appear below the page thumbnails and in the Page Navigation toolbar. Pages are numbered with integers, starting with page 1 for the first page of the document. Because some PDFs may contain front matter, such as a copyright page and table of contents, their body pages may not follow the numbering shown in the Page Navigation toolbar.

You can number the pages in your document in a variety of ways. You can specify a different numbering style for group of pages, such as 1, 2, 3, or i, ii, iii, or a, b, c. You can also customize the numbering system by adding a prefix. For example, the numbering for chapter 1 could be 1-1, 1-2, 1-3, and so on, and for chapter 2, it could be 2-1, 2-2, 2-3, and so on.

I cannot manage to copy information (a table) from a document in Numbers to a document in Pages. When I paste, nothing appears. When I paste in another app (e.g. a text editor), the data appears as expected, so the clipboard does contain the data.

Animation keyframes, relevant events, and dynamic data bindings for the pasted elements also get pasted by default, unless the destination document doesn't support them. If you want to paste elements without any animation, use the Edit > Paste without animations menu command.

I am having the exact opposite problem. When I select formatted text in Windows 10, using Parallels, the text then pastes into a Mac App as one long run-on sentence with Åbetween paragraphs instead. In Parallels I selected retain formatting for the clipboard.

While browsing the Web, you may see pictures you want to save to your Mac as inspiration or reference for a new business project. Many of these images reside on Web servers as individual files that a browser command can save to your desktop. Other images, such as those inside an animation file or a slideshow, do not exist as separate images on a server. To copy these photos, a screen capture program works best. The Macintosh Grab utility that comes with OS X captures screen images, or you can use a keyboard shortcut command to take a screen shot.

Caveats: Too labor-intensive for copying more than a single page. Breaks text threading if one or more stories flow outside the selected frames. Styles may change if you have the same style names but different definitions between the two documents.

Scenario: You have a multi-page InDesign document and you want to place all or some of those pages into one or more other InDesign documents without intermediary formats or export steps. The source document content may or may not be finalized.

Scenario: You have two InDesign documents of equal page count that need to be combined. The first document contains all the odd numbered pages while the second contains all the even numbered pages. These sorts of documents can result from placing multi-page PDFs that were non-duplex scans of two-sided printouts.

If for whatever reason copy and paste is still not working after this trick, go ahead and restart the Mac by going too the  Apple menu and choosing Restart. Restarting the Mac can often resolve issues like this, including some issues where Universal Clipboard may suddenly stop responding as expected, but obviously if you can remedy the problem without rebooting the Mac then that is preferable to most users.

I have the same copy and paste problem but only in two particular Numbers files. A new file is fine, other apps are fine. Deleteing the pboard preference didnt work.These two files also often refuse to open:

If you see that copy and paste is not the only combination not working on you, Mac, try rebooting your Mac. Also, check your keyboard is plugged in properly. And if it's wireless, your Bluetooth might not be working.

To paste as plain text on a Mac, you can use the somewhat cumbersome shortcut Option + Cmd + Shift + V to paste without formatting. This is a system-wide shortcut, so unlike Windows, it should work everywhere. Technically, this shortcut pastes and matches the formatting, but this has the same effect of removing the original formatting.

There's one major exception to these shortcuts: Microsoft Office. You'll probably want to paste plain text into your documents most of the time, making the lack of a dedicated shortcut a problem. Thankfully, there is an easy way to paste without formatting in Microsoft Word and other Office apps.

If you don't like the above keyboard shortcuts or don't want to use your mouse to select the tooltip, there's another Word shortcut to paste without formatting. Use Ctrl + Alt + V (or Cmd + Alt + V on a Mac) to open the Paste Special window. Here, select Unformatted Text to paste in plain text.

Finally, if you'd like, you can set the default paste option in Word to always paste in plain text. Head to File > Options and select the Advanced tab on the left. Here, look under the Cut, copy, and paste header for default pasting settings.

You can change your preference for various forms of pasting; Pasting from other programs will take care of text copied from your browser or other apps. Set this as Keep Text Only to paste in plain text.
